Privacy Policy

Torbay Motor Club respects your privacy and we will only use your information in the way we describe in this notice. When using your information, we aim to be fair and transparent, and to follow our obligations under UK data protection laws. Your information is used for administering club membership, activities and competitions.

The membership secretary, event organisers and entry takers are data processors for the club. The processors are responsible for processing personal data on behalf of the Controller and are required to maintain records of personal data and processing activities.

Collecting your information
We collect your information when you fill in membership application or renewal forms and competition entry forms. The information you give us may include:

  • Name
  • Address
  • Telephone number
  • Email address
  • Date of birth
  • Membership number
  • Competition licence number
  • Competition vehicle detail

Using your information
We use your information when you first apply for membership of Torbay Motor Club and then to administer and renew your club membership and provide you with member benefits. We also use your information when you enter club events. For competitors, we will publish some of your information in the programme and results, which will be in the public domain.

We may ask you for emergency contact and next of kin details which we will only use in an emergency, and which is use for legitimate interest. You should let the contact and next of kin know that you have given the information to us.
We might use your information to send you information by email. We will not sell your information to another organisation.

To support your relationship with motor sport and Torbay Motor Club we may keep your information for up to 5 years. 

Sharing your information
We may share your information with the Motor Sports Association as required by its General Regulations for governing motor sport, with other MSA Registered Clubs, with medical personnel, timekeepers or any other person if we have to comply with a legal obligation. We may also share a minimum of your information with service providers to print programmes and publicity.

Our Website
The club’s website contains links to other websites such as online entry payment sites, partners and advertiser. If you follow links to other websites, please review the privacy policy for each site because we are not responsible for information you share on those sites.

Security of your information
Your information is held securely by us. We have taken all reasonable steps and have in place appropriate security measures to protect your information. Your information is not transferred outside the European Economic Area.

Your rights

  • You may ask us not to process your information for the club magazine and other information. (You can do this in writing or by email).
  • You are entitled (on request) to a copy of the information we hold about you and ask us to correct any inaccuracies.
  • You may ask us to stop using your information and to delete it.
  • You may make a complaint to the Information Commissioner. (www.ico.org.uk ).

Subject access requests
All data and processing requests will be dealt with by the club’s membership secretary and/or event organisers with a target to respond within 30 days.

Lawful basis for processing data
We consider “legitimate interests” [Article 6(1) (f)] as a lawful basis to process personal data. We believe this basis is the most appropriate to enable the club to function and maintain its long-standing model, keeping membership lists, sending magazines, informing members of club benefits, services, technical items, events, competitions and activities by post, telephone and email. We have checked that the processing is necessary and that there is no less intrusive way to achieve the same result. We are confident that the interests of the individuals do not override those legitimate interests. We only use individuals’ data in ways they would reasonably expect.
